Hotel booking for a visa application: what you actually need
Accommodation proof is a standing checklist item across all 29 Schengen countries. Here is what the document has to show, why gaps get queried, and why you should not prepay.
Short answer: you need a genuine, confirmed booking covering every night of your stay, showing your name as printed in your passport, the full property address, exact dates and a reference the hotel can confirm. Keep it refundable — a visa decision is never certain, and you should not have money locked up in rooms for a trip that has not been approved.
Why accommodation proof is asked for at all
A consulate is trying to establish something quite narrow: that you have a coherent, concrete plan for where you will be, and that you can be located while you are in the country. Accommodation proof answers that. It is not a test of how much you spent on hotels.
For Schengen applications it is a standing checklist item — across all 29 Schengen countries, proof of accommodation sits alongside your flight itinerary and travel insurance as part of a complete file. For other destinations the requirement varies, but the underlying question does not.
Every night needs an address
The most common problem we see is not a bad document — it is an incomplete set. An applicant books the first hotel, plans to “sort out the rest later”, and submits an itinerary with unexplained nights in the middle.
If part of your trip is genuinely spent elsewhere — with family, with friends, on an overnight train — that is entirely acceptable. It simply has to be stated and evidenced rather than left as a gap. Staying with someone usually means an invitation letter and a copy of their ID or proof of address; several countries have a formal sponsorship or accommodation-declaration form for exactly this.
Refundable, not prepaid
There is a real cost question at this stage. You are being asked to evidence a trip that has not been approved yet, and a visa decision is genuinely uncertain no matter how strong your file is.
A confirmed, refundable reservation satisfies the requirement and leaves you whole if the answer is no. Prepaying non-refundable rooms for a trip you cannot yet take is a risk you are not required to accept, and we would not advise it.
Make the three documents agree
Officers read a file as a single story. Flight dates, hotel dates and the dates on your application form should describe the same trip — and your name should be spelled identically on all of them, matching your passport.
One detail worth getting right: write dates as DD-MM-YYYY throughout. Mixing formats between documents creates ambiguity an officer has to resolve, and ambiguity is never working in your favour.

Do I need a hotel booking for every city I visit?
You need every night accounted for, which in practice usually means one booking per city you sleep in.
The exceptions are straightforward. Staying with family or friends is normal and accepted — it just needs different evidence: an invitation letter, a copy of the host’s ID or residence permit, and often proof of their address. Several countries have a formal accommodation declaration for this. Overnight trains and flights account for themselves if the ticket is in the file.
Can I just book on a hotel site and cancel later?
You can, and if the booking is genuine and freely cancellable that is a perfectly legitimate approach. Two things to watch.
Check what the confirmation actually shows. Some platforms email a summary that omits the full property address or shows only a platform-side reference the hotel itself cannot look up. You want guest name, property name and full address, exact dates, and a reference the property can confirm.
Do not cancel before your appointment. A booking cancelled early is a booking that no longer resolves — and a reference that returns nothing looks exactly like a fabricated one. Keep it live until the file has been submitted.
Is a hotel booking proof that I will actually stay there?
No, and consulates are perfectly aware of that. Plans change; people move hotels; nobody is held to an itinerary months later.
What the document does is narrower and still useful: it shows you have thought the trip through concretely, and it provides an address where you can be reached. That is why a genuine booking matters and a fabricated one does not — the point is that it was real when you submitted it, not that you are bound to it forever.
What if my visa is refused — do I lose the hotel money?
Not if the reservation is refundable — which is precisely why that is what we issue. If the application does not go your way, you cancel and you are not out of pocket for the room.
This is the whole practical argument against prepaying rooms before a decision. The requirement is to evidence a plan, not to have already spent the money.
How far in advance should I get the booking?
Close to your appointment. The document needs to be live and current at the moment somebody reads the file — not a reservation that lapsed weeks ago or one whose dates no longer match the trip you are now describing.
Booking far ahead also tends to backfire in a quieter way: appointment dates move, plans shift, and you end up re-doing the paperwork. Tell us your appointment date and we will time the reservation around it.
What does a hotel reservation cost?
From ₹999 + GST (about $12) per hotel, priced per city for as many cities as your trip covers — so a three-city trip needs three.
